SUMMARY:
Support the management and operations of the HIV Prevention Capacity Development Branch (HPCDB), Division of HIV Prevention (DHP) programs by collecting, compilating, and tracking of HPCDB materials submitted by the Capacity Building Assistance Notice of Funding Opportunity (NOFO) recipients and stakeholders received through the HPCDB Clearance Management Email Box.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Follow the process in the approved standard operating process (SOP) to consistently monitor, review, and track all correspondence sent to the HPCDB Clearance Management email Inbox.
- Upon receipt of a new request, appropriately triage it to the correct HPCDB SME, provide technical assistance or file finalized products in designated electronic space.
- As needed, initiate the collection of, compile and/or consolidate information in a format consistent with the SOP.
- Monitor the inbox on an ongoing basis, throughout a workday. Requests may vary in complexity and may be answered in a matter of minutes or may take longer resolve.
- Use a tracking spreadsheet in HPCDB’s SharePoint, to track the status of each request, ensuring that all requests are acknowledge and serviced according to given deadlines.
- Maintain organization of the HPCDB Clearance Management email box for requests that are complete, in a system agreed upon with the HPCDB Lead. Create Ongoing, Pending, Complete and Archived subfolders to designate service status of the submission or request.
- As needed, liaise with other HPCDB staff to resolve issues, avoid duplication, and ensure consistency in responses.
- Maintain familiarity with previous provided responses to reduce redundant information requests.
- Assist NOFO recipients with initial review, copy editing, and branding of submitted materials to ensure consistency with CDC and DHP writing style guides.
- Project manage material collection, review, and storage in HPCDB SharePoint.
- Support data calls by providing metrics on the ongoing clearance and capacity building activities within HPCDB.
- Attend regular meetings with Division staff to inform and determine the processes and procedures for managing Clearance activities.
- Develop, produce, and disseminate information for stakeholders as required.
- Attend regular meetings with Division staff to determine the processes and procedures for carrying out projects. Uses this insight to assist in developing and applying effective methods and procedures to provide management analyst services to the Division.
- Maintain regular and punctual attendance.
- Perform other duties as assigned.

Job Requirements
MINIMUM QUALIFICATIONS:
- A bachelor’s degree in public health, management, business, or communications.
- At least Two (2) years’ experience; in partnerships and communications.
- Proficiency/experience in translating scientific information into plain language.
- Experience working with senior leaders in an organization.
- At least three (3) years’ experience working at an advanced level in the most current versions of Office.
- Strong organizational skills - attention to detail, ability to manage multiple iterations of documents and multiple projects simultaneously.
- Strong skills using plain language to explain complex topics.
- Strong interpersonal and oral and written communications skills.
- Ability to collaborate, as well as work independently.
- Must obtain and maintain any necessary security access and/or background checks.
